How to Manage Multiple Zalo Accounts for Work and Personal Chats

A supplier sends an updated quotation through Zalo. A client asks whether the delivery date is confirmed. Your family group is discussing weekend plans. When these conversations belong to different accounts, finding the right chat is only part of the work. You also need the correct document, the latest decision, and a clear next step.

To manage multiple Zalo accounts on desktop, give each existing account a separate signed-in profile and a recognizable place to work. WebCatalog can keep those sessions separate and bring the work account together with your documents, calendar, and tracking tools.

The useful outcome is a repeatable path from a message to a completed task. This guide follows a practical example: a project coordinator working with a Vietnamese supplier while keeping personal conversations in another account.

Give each Zalo account a stable home

First, decide which conversations actually belong to different identities. A personal account and an established work account may need separate sessions. Several customers talking to the same work identity can remain in that account; a new project does not automatically require another login.

Zalo already offers Windows and Mac applications, mobile apps, and a web version. Using a native app for one account and a separate browser session for another is one possible arrangement. WebCatalog is useful when you want named profiles and the web apps around your conversations in one organized desktop environment.

For two Zalo accounts on PC, start with the accounts you already use and can authenticate. In WebCatalog Desktop:

  1. Open Profiles, choose Add profile, and name the first profile “Zalo Work.”
  2. Open Zalo with that profile and sign into the intended work account.
  3. Add another profile named “Zalo Personal.”
  4. Open Zalo with the Personal profile and sign into your other account.
  5. Check the account identity and expected conversations in each window before replying.

WebCatalog's profile documentation explains that profiles keep cookies, sessions, and browsing data separate. Opening another window with the same profile reuses that session; select the other profile when you need the other account.

For QR authentication, Zalo's official sign-in instructions say to display the code on the computer, scan it with Zalo on your phone, review the login information, and confirm. Make sure the phone is using the account intended for that desktop profile. Labeling a profile “Work” cannot change which account approved the sign-in.

When opening the service directly, use Zalo Web, the web chat address identified by Zalo Help. If Zalo later asks you to authenticate again, complete its normal sign-in process in the appropriate profile.

Put the work around the conversation

An account window is a useful starting point. A working context also needs somewhere to check facts and record decisions.

Create a “Supplier Projects” space in WebCatalog. Add Zalo using the Work profile, your document app, an order tracker, and the calendar used for delivery commitments. A space groups the apps and bookmarks for a purpose in its own window.

Keep the roles clear: the profile selects the signed-in session; the space groups the tools. You can reuse the same work profile across project spaces when the projects share a Zalo identity. Another space by itself does not create a different account or limit that account to a particular customer.

Start with one work space and a separate personal Zalo window. Choose a WebCatalog plan that supports the apps, profiles, and spaces in your setup. Add something because it helps you finish a task, such as checking a quotation or confirming a meeting.

Follow one request from chat to a confirmed next step

Imagine you are coordinating printed materials for a client event. The supplier sends a revised quotation through your work Zalo account. The client needs an answer about quantities, artwork, and delivery.

The following workflow keeps the conversation attached to the decision it supports.

Identify the conversation before interpreting the request

Open the Work profile and confirm the sender, project, and latest message. Similar names, repeated group icons, or an old conversation can make a familiar-looking chat easy to misread.

Read enough context to understand what changed. “Can we proceed?” could refer to the quantity, a price revision, or the final artwork. Answering before identifying the decision can create another round of messages.

In this example, the supplier's revised quotation covers a different paper specification. The first useful action is to compare that change with the approved brief. Keep the conversation and brief visible as you do so.

Your personal account can remain available in its own window. When you return from it, check the work identity and conversation again before sending a project reply. The labels help you navigate; the account and recipient shown inside Zalo confirm where the message will go.

Check the file that supports your answer

Open the quotation and find its date or version. Compare the relevant details with the project record: quantity, specification, approved amount, and requested delivery date. A newer message does not necessarily contain the final approved document.

If the revised quotation changes something material, identify the difference explicitly. For example: “The revised quotation uses the heavier paper option. Please confirm whether this affects the delivery date before we approve it.”

Save the revised quotation in the project folder with a filename that identifies the project and version, and mark it as pending review until approval is confirmed. This is a deliberate filing step. Keeping a storage app beside Zalo makes it easier to perform; WebCatalog does not automatically copy chat attachments into your project folder.

Before sending a file back, check both the recipient and the attachment. Several open accounts can make access convenient, but the final destination still deserves a moment of attention.

Turn the reply into a trackable commitment

After the supplier confirms the details, decide what the conversation now requires. A promise to send artwork tomorrow needs an owner and a deadline. A confirmed delivery needs to be reflected in the project schedule.

Use a short record like this in your existing tracker:

ItemExample record
RequestApprove revised print specification
EvidenceRevised quotation saved in the project folder
DecisionSpecification approved; delivery confirmation still pending
Next actionCoordinator to confirm delivery with the supplier
DueBefore the client's next project review

These are example project notes, not fields WebCatalog adds to Zalo. Their purpose is to make the work understandable after the conversation moves down the chat list.

Reply with the part that is confirmed and identify what is still pending. “Artwork is approved; I will confirm the delivery date after the supplier responds” gives the client a more useful update than a vague acknowledgment.

Prepare a handover someone else can use

If a colleague needs to continue the project, share the approved document and the decision record through your normal work tools. Include the latest status, the next action, and who is expected to respond.

A handover should let them understand the work without reconstructing your personal chat history. If the business needs several employees to answer the same customer conversation, that is a team messaging requirement worth addressing directly.

When customer replies belong to a team, use Zalo Official Account roles

Zalo Official Account, or Zalo OA, has a different purpose from keeping two individual Zalo logins open. It gives an organization a customer-facing presence with staff access to its management tools.

According to Zalo's Official Account getting-started guide, staff sign into OA Manager through personal Zalo accounts and select the OA they are authorized to manage. An administrator can invite staff through Quản lý → Quản lý admin, choose the relevant permissions, and send an invitation for the person to accept.

If you manage Zalo Official Accounts for several organizations through the same authorized login, choose the correct OA inside OA Manager. You do not need a different personal account or WebCatalog profile for every OA. A client space can keep the appropriate links and documents together, while the selected OA determines the business you are working on.

For shared customer service, Zalo also documents conversation assignment and staff filtering. These functions depend on the OA plan and the employee's permissions. Use them to establish who handles a customer when your setup supports them.

Conversation assignment is provided by Zalo OA. WebCatalog organizes access to the service alongside other work apps. Choose OA features when the need is shared customer ownership; choose separate profiles when the need is separate signed-in identities.

Check the details that affect your daily work

Before moving your routine into a new desktop arrangement, try one representative conversation from start to finish. Can you open the message you need, inspect its document, send the intended reply, and record the follow-up? If calls are part of that workflow, check them in the actual environment you intend to use. Zalo's native and web experiences can have different capabilities.

Review notifications in each account and your desktop settings. The work account should draw attention to conversations you are responsible for, while personal alerts can follow your preferred work hours. Confirm that expected alerts arrive before relying on the arrangement for time-sensitive replies.

Check important history and files separately. Zalo provides backup and restoration guidance for changing phones, and its own processes govern what is available after a device or session change. A WebCatalog profile is not a backup of your Zalo message history. Keep essential project records in the location your team has chosen for them.

Start with your next real conversation

Choose one work account, one personal account, and one project that regularly produces Zalo messages. Add Zalo to WebCatalog, give each login a named profile, and place the work session beside the documents and tracker needed for that project.

Then use the next incoming request to complete the full sequence: confirm the account and conversation, check the supporting information, send a clear reply, and record the next action. That is a practical way to manage Zalo work and personal accounts while keeping the work behind each message organized.
