Your personal chats need a different home from customer questions, order updates, and appointment requests. With WhatsApp in WebCatalog, you can keep those accounts in separate desktop profiles and organize the business account alongside the other apps you use for work.
To manage multiple WhatsApp accounts, start with two registered accounts, give each a separate profile, and link each profile from the correct account on your phone. The phone number identifies the WhatsApp account; the profile keeps its desktop session separate.
This field guide walks through that setup, then explains what to check when both windows show the same chats, a QR code returns, or another device refuses to link.
Before pairing: give every number a clear destination
Write down the account-to-profile mapping before you scan anything. A simple arrangement might look like this:
| Purpose | WhatsApp account | WebCatalog profile name | Desktop destination |
|---|---|---|---|
| Friends and family | Personal number | Personal | WhatsApp opened with the Personal profile |
| Customer conversations | Business number | Shop | WhatsApp opened with the Shop profile |
Use names you can recognize at a glance. “Personal” and “Shop” are more useful during a busy afternoon than “Profile 1” and “Profile 2.”
Each account needs its own phone number. WhatsApp's native multiple-account feature supports two accounts on a mobile device; its help documentation describes multiple-account switching as a mobile feature. That is different from maintaining separate linked sessions on your desktop. WebCatalog supplies the desktop environment, not another phone number or a new WhatsApp account.
You will also need access to each account's primary phone to authorize linking. Check its existing linked devices: WhatsApp's standard linked-device allowance is up to four devices per account. Some business offerings have different allowances, so check the terms that apply to your account.
WhatsApp already offers official Mac and Windows applications, as well as WhatsApp Web. Those are useful options. WebCatalog is particularly relevant when you want several named sessions and a consistent place for the other apps surrounding your conversations.
Setup pass 1: establish the personal session
Create a profile before you sign in
Install WebCatalog Desktop, find WhatsApp in its app catalog, and open the desktop app. Follow WebCatalog's profile instructions: open Profiles, choose Add profile, and give the new profile a recognizable name such as “Personal.” Open WhatsApp with that profile selected.
Profiles separate cookies, sessions, and browsing data. This is what lets two instances of the same service retain different signed-in identities. Opening another window alone does not establish that separation.
If you already use WhatsApp in WebCatalog, identify which profile owns that existing session before adding another. You may be able to keep it as your personal profile and create only the missing business profile. There is no benefit in starting over if the existing pairing is correct.
Pair the intended account
In the Personal profile, open WhatsApp's web sign-in screen. Then authorize the session from your personal WhatsApp account on the primary phone.
WhatsApp's device-linking process starts on the phone. On Android, access Linked devices through More options. On iPhone, go through Settings. Choose Link a device, complete any requested device authentication, and scan the QR code displayed in the intended desktop profile.
If your phone contains multiple WhatsApp accounts, first make sure the intended account is active. The QR code links the account that authorizes it; the name you gave your WebCatalog profile does not choose the phone number for you.
Once chats appear, check the account's profile details and a familiar conversation. Confirm the identity before replying to anyone. Leave that session in place while you set up the second account.
Setup pass 2: add the business session without replacing the first
Create a second WebCatalog profile named for the business, such as “Shop.” Open WhatsApp using that profile. An unpaired profile should present the sign-in process rather than the personal account's existing chats.
If it immediately displays your personal conversations, pause here and use the first troubleshooting entry below. Scanning another code is unnecessary until you have confirmed that the desktop sessions are separate.
For a number registered in WhatsApp Business, authorize the new desktop session from the WhatsApp Business app on the primary phone. WhatsApp's Business QR-linking guide documents the same Linked devices route: choose Link a device and scan the QR code in the Shop profile.
For a second account in regular WhatsApp, use that account's linking flow instead. The important distinction is the account doing the authorizing, rather than whether you call the profile “Business.”
After linking, verify the business identity and a recognizable customer conversation. Then switch back to Personal and confirm that its chats remain personal. This two-way check catches a mistaken pairing before the setup becomes part of your routine.
You now have a practical arrangement for two WhatsApp accounts on PC or Mac: two identities, two profiles, and a separate linked session for each.
Put the business conversation beside the work it creates
A customer message often leads to another task: checking an order, sending an invoice, or confirming a booking. Create a business space and add WhatsApp with the Shop profile alongside the relevant order system, email account, or scheduling app.
Each space opens in its own window. It organizes your apps and profiles around a purpose; the profiles provide account separation. Adding WhatsApp with the same profile to two spaces gives you the same account in both places.
Keep Personal outside the business space, or give it a separate space if that fits your routine and plan limits. The goal is to make the next action obvious: customer messages lead to business tools, while personal messages remain easy to recognize.
This arrangement keeps separate inboxes accessible. It does not merge chat histories or add shared-inbox assignment and routing. If several colleagues need to allocate customer conversations, evaluate the team features offered by WhatsApp or your customer-support system separately.
Troubleshooting: start with the symptom you can see
“Both windows show the same account”
First check the selected WebCatalog profile in each window. If both use Personal, they share the same session even when opened from different spaces. Open one with the separate Shop profile.
If the profiles are different but the account is still identical, you likely authorized both sessions from the same WhatsApp account. On the primary phone, review Linked devices and log out of the mistaken session. Then pair the intended profile from the correct account.
Identify the device entry carefully before disconnecting it. You only need to repair the incorrect pairing; you do not need to recreate both WhatsApp accounts.
“The QR code will not complete the connection”
Check that you are using WhatsApp's Link a device flow on the phone. A general camera scan does not replace that authorization process. Confirm that the desktop and primary phone have working internet connections.
WhatsApp's connection troubleshooting guide recommends refreshing the web session and checking the network. Try those straightforward steps before clearing profile data, which can remove the session you are trying to preserve.
If scanning remains awkward, WhatsApp also documents linking with a phone number and an eight-character code for WhatsApp Web and Windows. Where that option appears, follow its prompts and approve the request on the correct primary phone. It is another linking method, not account registration.
“WhatsApp will not let me link another desktop”
Review the account's linked-device list on its primary phone. An old laptop, browser session, or previous WebCatalog profile may still occupy an available place.
Remove a device you no longer use, then retry. Review each account independently: the personal account's available capacity tells you nothing about the business account's list. WebCatalog does not increase WhatsApp's device allowance, and creating extra profiles cannot bypass it.
Avoid unlinking a colleague's active business session simply because its device name looks unfamiliar. Establish which session is obsolete first.
“It worked yesterday, but now I see a QR code again”
First confirm that you opened the original profile. A fresh profile has its own session data and can legitimately ask you to link again.
Next, review Linked devices on the primary phone. A session that was logged out there needs to be authorized again. WhatsApp also says linked devices disconnect after more than 14 days of primary-phone inactivity, so keep the phone account active even when most conversations happen on desktop.
Relink the existing profile from the correct account once you identify the cause. Giving the profile a new name will not restore an expired or revoked WhatsApp session.
“Chats work, but this is not the calling setup I expected”
Separate account sessions solve an access and organization problem. They do not guarantee that every feature available in WhatsApp's native applications will behave identically in its web experience.
If calls are central to your day, check the official Mac or Windows app against your requirements. It can be sensible to use a native application for your main calling account and WebCatalog for the surrounding business workflow. Judge the setup by the activities you actually need: messages, attachments, calls, and access to related tools.
Keep the setup recognizable as it grows
Before sending a customer reply, glance at the active profile and account identity. When you add another business or replace a number, update your account-to-profile mapping before pairing the new session.
When retiring a desktop session, unlink it from WhatsApp rather than merely removing its shortcut. That closes the relationship with the old device and makes the linked-device list easier to understand later.
To organize multiple WhatsApp accounts on desktop, start with WhatsApp in WebCatalog, create a profile for each account, and link them one at a time. Add your business tools to a space when the conversations start producing work that belongs beside them.
